Why can't I see my old tenancy's documents anymore?
Once you've moved out, LetTrack keeps your access to documents, served notices and repairs for 12 months after your deposit is settled — then that access ends automatically. Your tenancy record, rent history and move-out/settlement details stay visible for your Tenant Passport.
What ends, and when
Twelve months after your deposit is settled, you lose access to:
- Documents filed against your old tenancy (and their files)
- Section 8 and Section 13 notices that were served on you
- Prescribed-information and How to Rent servings
- Repairs you reported
How the 12-month date is worked out:
- If your deposit went through a dispute, the clock starts from the dispute's outcome date (never while a dispute is still open).
- Otherwise, it starts from whenever the deposit was actually agreed or repaid, if that's later than your tenancy's end date.
- If there's no settlement on record at all, it starts 12 months after your tenancy's end date (or move-out date).
Your access is also kept open — even past 12 months — while a deductions proposal is still awaiting your answer, or a check-out/inventory review is still waiting for you, so a late-run process can't lock you out before you've had your say.
What stays visible
Your tenancy record itself, your rent history, your inventories, and your settlement details stay visible — these feed your Tenant Passport, which is meant to be a lasting record you can show a future landlord.
If your account's tenant features are switched off
If your current organisation has the "tenant home" feature switched off, your Documents page and its navigation links and dashboard shortcuts disappear, and HMO room names aren't shown to you — a guarantor on the tenancy keeps access to Documents regardless.
