Short answer

Your data is isolated per workspace, documents are private and access-controlled, the most sensitive data is encrypted, and every change is recorded in an immutable audit trail. You can request access to or erasure of your data from the Privacy area.

Keeping your data separate

LetTrack is built so each workspace only ever sees its own data. Access is enforced at the database level — not just hidden in the interface — so one landlord or agency can never see another's properties, tenants or documents.

Documents and files

Uploaded documents are kept in private storage and are never publicly accessible. They're served only to people in your workspace with access to that property, through secure, time-limited links.

Sensitive information

The most sensitive data — such as Right to Rent details — is encrypted at rest and can only be viewed by managers, never by tenants or other organisations.

A complete record

Every change to your records is written to an append-only audit log that can't be edited or deleted, giving you a reliable history for your own peace of mind and for regulatory purposes.

Your rights over your data

You can ask to see the personal data we hold about you, to correct it, or to have it erased, from the Privacy area of your account. We handle each request in line with UK GDPR and are transparent about anything we're legally required to keep.
